Mix Brussels: one venue, one total experience — supported by a permanent AV operation

Mix Brussels is a remarkable location on the edge of Brussels, in Boitsfort — a green municipality bordering the Sonian Forest. The venue combines hotel comfort with meeting and event spaces, restaurants and sports facilities. For event organisers, that means everything in one place, with a flow that works — from welcome to the final moments of the programme.

To support that total experience on the technical side as well, Mix Brussels works with one permanent partner for every audiovisual project: Auvicom.

In this reference case, three partners share their perspective on that collaboration:

William Boillot (Mix Brussels) — the venue perspective
Karin Van Passel (dside) — the event agency perspective
Mats Laermans (Auvicom) — the AV partner perspective

What sets the location apart is the concept of a total experience — something William Boillot summarises in one sentence:

What is interesting here is that our clients can enjoy a total experience where they can work and easily unwind at the end of the day.

The venue: a renovated heritage site

Mix Brussels is not just another new-build project. Karin Van Passel (dside) sketches the background:

Mix is located in the former buildings of Royale Belge. It is an old complex that has been completely renovated and where both companies and the Mix project are based. The Mix project consists of a hotel together with a congress and events section and a fully equipped wellness and fitness facility.

Account Director, dside

Dside came on board as a partner for the events and congress section of the project. From that role, the choice of a technical partner was a logical one.

As a partner of Mix, it was therefore only natural that we would take on the technical side for the events and congress section.

The challenge: technology that “just works”

In a venue with multiple spaces and a wide variety of event types, audiovisual support is not an optional extra. Organisers expect technology to work intuitively, to be reliable and to be professionally managed — for small meetings as well as larger productions in the Grand Hall.

A venue environment like Mix Brussels requires:

  • fast response times on AV requests
  • a partner who knows the venue and fixed installations inside out
  • a clear workflow that holds up even with last-minute changes
  • continuity: someone who is regularly on site, not only during events

The approach: a clear AV flow, from request to execution

Auvicom supports Mix Brussels in the audiovisual preparation and execution of events, with an approach that relies strongly on clarity and on-site presence. Mats Laermans, Rent Project Coordinator at Auvicom, explains how it works in practice:

Via Mix we receive the request for AV projects. We meet with the client on site at Mix, where we go through everything in terms of audio, video and lighting. That gives us a first impression of exactly what the client wants. I then draw up a first version of the quote. Further calls can then be scheduled if needed to discuss everything in more detail.

In practice, the process always follows the same pattern:

Intake tailored to the event
For any audiovisual questions, a quick alignment takes place on what is needed: audio, video, lighting and any additions.

On-site consultation
Meetings take place on site whenever possible, so that the possibilities of the space and the client’s expectations are immediately clear.

Proposal and fine-tuning
Based on the intake, a first proposal is drawn up. Depending on the event concept, this is refined until everything is right.

Follow-up and continuity
Auvicom is present on site several times a week — for client meetings, but also to keep the fixed installations operational.

Dat laatste punt is niet onbelangrijk. Auvicom voerde ook de vaste AV-installaties uit in het Auditorium en de banketzalen, en staat mee in voor de opvolging daarvan:

We are present at Mix several times a week: on the one hand for meetings with clients, but we have also carried out the fixed installation of AV equipment in the Auditorium and the banquet halls. For that too, I stay in contact with Mix to keep everything in order and to make sure all the equipment remains operational. We are also regularly present for rental projects where we supply a complete package for audio, video and lighting.

Why Auvicom was chosen

The choice of Auvicom as permanent AV partner was no coincidence. Karin Van Passel (dside) lists the three decisive reasons:

  • Knowledge of the building
  • Flexible event crew
  • Value for money

Three criteria that make a real difference in practice at every production.

The choice ultimately fell on Auvicom, and that choice was made for several reasons. One of them was that they already knew the building exceptionally well. A second reason why we chose Auvicom is because they have experience with both fixed installations and events. And that was an important criterion for us: that they have the crew, the staff who can also work at events and intervene at times and on days when it is more difficult for other companies. And a third reason is the value for money of the products and the service we receive relative to the final result.

Why it works: venue × agency × AV on the same page

William Boillot confirms from the venue perspective how the collaboration with Auvicom works in concrete terms:

For all audiovisual requests we receive from our clients, we work with Auvicom and refer our clients to the team. They respond as quickly and as well as possible to our client’s request. That has always worked very well so far. A true collaboration exactly as we want it.

Event Director, Mix Brussels

From the event agency perspective, that streamlined way of working translates directly into client value.

And for Auvicom, the added value lies in the structural: not just one-off event technology, but a collaboration in which preparation, execution and support connect seamlessly.

By working closely with Auvicom on the technical equipment that is needed, it becomes very straightforward for companies to come here for seminars and congresses. They have everything at hand. There is a hotel in a beautiful green setting. There are enough rooms, both for the congress section and for an evening event.

From congress to Grand Hall: the flow of a full event day

Mix Brussels offers more than just a meeting room. William Boillot describes what a typical event day looks like:

After a day full of conferences, our clients move through to the Grand Hall, the large space where we can easily accommodate 300 people. Seated dinners are organised, walking dinners, you name it. Many different formats that can be offered in our Auditorium and Grand Hall at Mix.

William Boillot

Event Director, Mix Brussels

The Grand Hall is also where Auvicom realises its largest AV productions:

In the Grand Hall we can indeed organise very impressive events where large installations can be placed. We have wonderful images of impressive events that we have organised here so far, which truly make an impression on an outsider or on the people who come to experience events here.

Event Director, Mix Brussels

Result: scalable, professional and repeatable

Mix Brussels organises approximately 420 events per year. That requires an approach that scales: from a small meeting room to the Grand Hall, with the same level of quality and without friction in preparation or execution.

What this delivers for organisers:

  • Smooth preparation with clear coordination tailored to the event
  • Less stress around technology and timing thanks to a partner who knows the venue inside out
  • Consistent support for both fixed installations and rental projects
  • An event experience that feels complete — from welcome to the final moment in the Grand Hall
